The company has an exciting opportunity for a Benefits and Retirement Manager to join their South Portland, Maine team.

The Benefits and Retirement Manager works under the direction of the Director of Human Resources and is responsible for all benefit practices and policies covering health and wellness, retirement and other benefits. The Benefits and Retirement Manager serves as the primary office contact to employees, physicians and vendors from moderate to complex benefits related matters and makes sound independent decisions and recommendations. The Benefits and Retirement Manager works with payroll to ensure payroll compliance and is responsible for partnering in management of the HRIS.  This role is responsible for coordinating and managing all employee leaves, workers compensation and OSHA reporting.

The ideal candidate will have several years of HR experience specifically in the areas benefits management, wellness, and payroll. This role requires strict attention to detail, strong problem-solving skills, proven ability to collaborate with colleagues, and commitment to providing the highest level of service.

Primary Responsibilities:

  • Manages benefits practices and policies covering health, retirement and other benefits.
  • Conducts benefit orientations for new employees.
  • Manages the business relationship with benefit vendors and consultants.
  • Leads the annual open enrollment process.
  • Serves as a facilitator, expert resource, and counselor to employees, managers and physicians on benefits issues.
  • Develops and implements communication strategies to ensure employees and physicians understand the value and capability of InterMed’s benefits plans.
  • Oversees worker’s compensation claims with insurance carrier for work-related injuries/accidents, schedules appropriate medical care as needed with Occupational Health Provider and ongoing follow up on active claims.
  • Maintains OSHA log of injuries and manages injuries to ensure effective return to work for employees and physicians.
  • Writes articles to communicate HR benefit-related news and updates in the weekly newsletter.
  • Ensures compliance with all benefit programs, ACA, benefit legislative and regulatory issues.
  • Administers leave of absence programs.
  • Leads wellness initiatives, including program development and implementation.
  • Manages and administers policies and programs to promote wellness; Plans specific activities aimed to improve employee health, wellness, and fitness.
  • Responsible for entering accurate and timely data in recordkeeping systems, as well as working with the insurance and service providers for eligibility, enrollment, benefits deductions, and other data.
  • Serves as HRIS lead for the Human Resources department.
  • Works with IT and payroll to maintain system and integration.
  • Works closely with the Finance team to ensure payroll compliance and smooth payment of benefit-related invoices.
  • Manages and maintains employee record keeping electronic and paper (including status/payroll changes, name, address changes and terminations), including oversight of record retention
  • Responsible for all mandatory HR reporting.
  • Tracks job required Licensure / Certifications
  • Responsible for non-discrimination testing for HSA/FSA
  • Management of 401K plan
  • Ensures all benefits programs, policies and practices are in compliance with ERISA, COBRA, FMLA, ACA, GINA, Maine leave programs, HIPAA, and other applicable federal and state laws and regulations.
  • Maintains up-to-date plan documents for all benefit plans.
  • Organizes the preparation of reports and applications required by law to be filed with federal and state regulatory agencies (5500s and SARs, etc.)


  • Bachelor’s Degree required.
  • 4-7 years administering benefit programs, including experience in wellness, maintaining vendor relationship, implementation of new programs, and people leadership required.
  • UltiPro Experience preferred.
  • Strong interpersonal skills.
  • Strong computer skills in MS Excel, Word, PowerPoint, and ability to learn new computer applications.
  • Knowledge of state and federal employment law.
  • Excellent written and verbal communication skills, including experience speaking in front of small to medium-sized groups.
  • Ability and desire to categorize and analyze information, to work independently and to prioritize multiple tasks.
  • Ability and consistent willingness to provide the highest levels of service to InterMed physicians, managers and employees, and outside vendors.
  • The ability to research and analyze various different types of data information
  • Results and people oriented, with sound judgment.
  • Excellent consulting skills; proactive problem solver.
